Group Leadership Descriptions

The Small Group Leader is at the heart of our community, responsible for creating a welcoming, supportive, and spiritually enriching environment for a small group of individuals. This volunteer facilitates meaningful discussions, encourages personal growth, and fosters genuine relationships, aligning with the overall vision of our organization to build a strong, connected community and deepen faith journeys.

Key Responsibilities

Facilitation and Discussion:
  • Prepare for and lead weekly or bi-weekly small group meetings, ensuring a consistent and engaging experience.
  • Guide group discussions using provided curriculum or relevant materials, ensuring everyone has an opportunity to participate and share.
  • Create a safe and non-judgmental atmosphere where group members feel comfortable being vulnerable and asking questions.
  • Keep discussions on topic and manage group dynamics effectively.
Pastoral Care and Support:
  • Act as a primary point of contact and care for group members, offering encouragement, prayer, and support during life's challenges and triumphs.
  • Celebrate successes and mourn losses with group members.
  • Help members connect with staff for deeper support (e.g., counseling, crisis intervention) when needs extend beyond the group's capacity.
  • Maintain confidentiality regarding sensitive information shared within the group.
Community Building:
  • Intentionally foster a sense of belonging, trust, and genuine relationship among group members.
  • Encourage group members to connect outside of regular meeting times (e.g., social gatherings, serving together).
  • Welcome new members and help them integrate smoothly into the group.
Communication and Administration:
  • Communicate consistently with group members regarding meeting times, locations, and any changes.
  • Regularly communicate with the Small Group Coach or Discipleship Pastor, providing updates on group health, prayer requests, and any concerns.
  • Track group attendance and submit simple reports as requested.
  • Stay informed about church events, initiatives, and opportunities to share with the group.
Personal Growth and Development:
  • Commit to personal spiritual growth and continue learning and developing leadership skills.
  • Attend required small group leader training sessions and occasional leader gatherings.
  • Be open to feedback and coaching from the Small Group Coach or Small Groups Pastor.

Time Commitment

  • 3-6 hours per week, including:
  • 1.5 - 2 hours for leading the small group meeting.
  • 1 - 2 hours for preparation (studying material, planning discussion questions).
  • 1 - 2 hours for communication with group members and checking in with your coach/pastor.
  • Additional time may be required for occasional leader training events or social gatherings.

  • Organized and Reliable: Able to plan meetings, communicate consistently, and follow through on commitments.
  • Spiritually Mature: Demonstrates a personal commitment to their own faith journey and a desire to grow.
  • Teachable Spirit: Open to receiving feedback, learning new skills, and growing as a leader.
  • Prior Small Group Experience (preferred): Experience as a participant in a small group is beneficial.
  • Have completed Growth Tracks
  • Have submitted and passed a background check.

Reporting Relationship

The Small Group Leader will report to their assigned Small Group Coach, Coordinator or Discipleship Pastor.

The Small Group Coach serves as a vital support system for our small group leaders, empowering them to lead thriving and impactful groups. This volunteer acts as a mentor, resource, and cheerleader, providing personalized guidance and encouragement to a specific cluster of small group leaders. The ultimate goal is to enhance the effectiveness of our small group ministry by ensuring leaders feel equipped, supported, and connected.

Key Responsibilities

Leader Mentorship and Support:
  • Regular Check-ins: Proactively connect with an assigned "cluster" of 4-6 small group leaders on a consistent basis (e.g., bi-weekly or monthly via phone, text, email, or in-person).
  • Problem-Solving & Guidance: Offer practical advice and support for challenges leaders may face, such as group dynamics, conflict resolution, attracting new members, or spiritual growth topics.
  • Encouragement & Affirmation: Provide positive reinforcement and express appreciation for their dedication and efforts.
  • Resource Connection: Help leaders identify and access relevant resources, including curriculum materials, training opportunities, or organizational support.
  • Facilitating Leader Development:
  • Identify Training Needs: Observe common challenges or areas for growth among their assigned leaders and communicate these to the Small Groups Coordinator.
  • Share Best Practices: Disseminate effective strategies and ideas that have worked well in other small groups.
Communication and Collaboration:
  • Liaison Role: Act as a bridge between small group leaders and the wider small group ministry leadership, relaying feedback, concerns, and successes.
  • Team Meetings: Attend team meetings to share insights, collaborate with other leaders, and receive further training.
  • Reporting: Provide brief updates to the Small Groups Pastor or ministry lead on the health and progress of the small groups within their cluster.
  • Ministry Promotion: Help champion the vision of the small group ministry and encourage new individuals to get involved as participants or future leaders.

Time Commitment

  • Approximately 4-8 hours per month, depending on the needs of the assigned leaders.
  • This includes time for individual leader check-ins, preparing for conversations, and attending coach team meetings.
  • Flexible hours, but requires proactive outreach to leaders.

  • Experienced Small Group Leader: Must have prior experience successfully leading a small group within our organization for at least one year.
  • Relational and Empathetic: Possesses strong interpersonal skills, a listening ear, and the ability to build rapport and trust.
  • Encourager and Motivator: Genuinely desires to see others succeed and grow, and can inspire confidence in leaders.
  • Problem-Solver: Able to offer practical, helpful solutions and navigate various small group scenarios.

The Small Group Coach will report to the Small Groups Coordinator and Discipleship Pastor 

The Small Group Coordinator plays a pivotal role in fostering community and spiritual growth within our organization by facilitating the smooth operation and expansion of small groups. This volunteer will support Small Group Leaders and Coaches, connect individuals with appropriate groups, and help cultivate an environment where members feel connected, supported, and engaged.

Key Responsibilities

Leader Support and Communication:
  • Serve as a primary point of contact for Small Group Leaders and Coaches, providing encouragement, resources, and answers to their questions.
  • Regularly communicate updates, curriculum suggestions, and organizational initiatives to Small Group Leaders.
  • Assist in organizing and sometimes leading training sessions or workshops for Small Group Leaders to enhance their skills and ensure consistency in group ministry.
Group Placement and Formation:
  • Help individuals interested in joining a small group find a suitable group based on their interests, availability, and demographics.
  • Maintain an up-to-date roster of all small groups, including their focus, meeting times, and availability.
  • Assist in identifying potential new small group leaders and help in the process of launching new groups as needed.
Resource Management:
  • Organize and maintain a library of small group resources, including curriculum materials, discussion guides, and training aids.
  • Ensure small group leaders have access to necessary materials and technology for their group meetings.
Event Coordination (as needed):
  • Assist in planning and executing events designed to promote small group involvement or foster connection among existing groups (e.g., small group leader appreciation events, social gatherings).
Feedback and Evaluation:
  • Collect feedback from small group leaders and members to assess the health and effectiveness of the small group ministry.
  • Work with staff or ministry leads to identify areas for improvement and implement strategies to enhance the small group experience.

Time Commitment

  • Approximately 5-10 hours per month, varying based on the time of year (e.g., higher commitment during new group launches or special events).
  • Flexible hours, with some evening or weekend availability required for meetings, training, or events.
  • Regular check-ins with relevant staff or ministry leads (e.g., weekly or bi-weekly).

Qualifications

  • Passion for Community: A genuine desire to help people connect, build relationships, and grow in their personal and spiritual journey.
  • Organizational Skills: Excellent ability to manage information, schedules, and resources efficiently.
  • Communication Skills: Strong interpersonal skills, with the ability to communicate clearly, empathetically, and effectively with a diverse group of people.
  • Relational Heart: Ability to build rapport and establish trust with small group leaders and members.
  • Problem-Solving: Proactive in identifying challenges and finding practical solutions.
  • Team Player: Willingness to collaborate with staff and other volunteers to achieve ministry goals.
  • Tech Savvy (preferred): Familiarity with basic office software (e.g., Google Workspace, Microsoft Office) and willingness to learn specific database or communication platforms used by the organization.
  • Prior Small Group Experience (preferred): Experience participating in or leading a small group is a plus.

Group Leadership FAQ

Leaders are supported by Small Group Coaches and Coordinators, who provide training, resources, encouragement, and guidance as they grow in their role.

While prior small group experience is helpful, what matters most is a relational heart, a commitment to the mission, and a willingness to grow as a leader.

Coaches and coordinators are available for guidance on group dynamics, conflict resolution, or other challenges, helping leaders navigate issues with confidence.
